Company Installation & Site Conduct Policy

1. Purpose of This Policy

This policy outlines the standards, procedures, and conduct expected from our staff when performing installations or service work at a client’s property. It protects both the company and the client by ensuring transparency, professionalism, and clear boundaries.

2. Scope

This policy applies to all employees, subcontractors, and team members representing the company during any on-site work.

3. Access to Client Property

  • Staff will only enter areas of the property necessary to perform the agreed-upon work.
  • Team members are strictly prohibited from entering any private rooms or areas unrelated to the job.
  • If access to additional spaces is required, verbal permission from the client must be obtained.

4. Handling of Client Belongings

  • Staff may not touch, move, or inspect any personal items belonging to the client.
  • If items obstruct work areas, the client must move them. Staff may only proceed once the area is cleared.
  • Staff are required to report any existing damages or unusual items in the working area before starting work.

5. Privacy & Confidentiality

  • Personal information of staff and clients must be protected at all times.
  • The company will not share:
    • Employee ID copies
    • Employee personal addresses
    • Employee criminal or background records
    • Any personal HR documents
  • Only first names of staff may be shared with clients when necessary.

6. Staff Conduct On-Site

  • Staff must behave respectfully and professionally at all times.
  • No eating, smoking, or unrelated activity is allowed on the client’s property.
  • Staff must use only company tools and equipment.
  • Staff must not ask clients for personal information.

 

7. Lost or Missing Items Reported By Clients

If a client reports a missing item: 1. The company will listen and acknowledge the concern. 2. The company will review the work area and timelines. 3. The company will confirm that staff only worked in the designated area. 4. The client will be advised to take legal or official steps if they believe necessary. 5. The company will fully cooperate with any official investigation.

Important: The company cannot accept liability for missing personal items unless supported by clear evidence.

8. Documentation & Record Keeping

For all installations, the company will maintain: Job card or work order. Date and time of installation. Names of staff present. Before and after installation notes or photos (where applicable). Any communication relevant to the job

9. Safety & Security

  • Staff must secure tools and equipment at all times.
  • Staff may not remove anything from the client’s property except waste materials from the installation.
  • If a client has cameras, staff must be informed and comply with reasonable requirements.

10. Dispute Handling

  • All disputes must be addressed in writing.
  • Staff are not allowed to communicate with clients directly regarding disputes; communication must come from management.
  • The company will respond professionally and cooperate with any investigative authority.

11. Company Liability

The company is responsible for: Quality of installation work. Safety of its staff. Professional conduct

The company is not responsible for: Client’s personal belongings. Claims without evidence. Situations occurring outside the working area

12. Client Review & Public Feedback

  • The company will respond to public reviews professionally.
  • No private staff information will be shared publicly.
  • Defamatory or false reviews may be reported to the platform for removal.

13. Acknowledgment

All employees must acknowledge that they have read and understood this policy before working on client sites.
